Responsible for coordinating and tracking a set of Audio-Visual (AV) projects both pre-planned projects and new operational initiatives.
Assisting the collation of data and compiling scope details from all global markets
Tracking orders with global suppliers end-end through the quotation process
Manage the order process and data for AV projects
Support and quality assure all data in the Clarity PPM tool – Milestones, risks, issues and weekly reports

Coordinate materials and facilitate programme and project governance meetings inc senior level Steering Committees
Own regular programme communications to key stakeholders
Liaise with suppliers to track delivery milestones and reporting accuracy
Compile and manage scope tracking sheets of AV initiatives
Compile and track orders – ensuring each order is tracked through the dependent stages between internal units and global suppliers
Support the quality assurance of 3rd party quotes for basic accuracy
Raise approvals for orders in TPS system - track and chase through to full approvals
Raise requests for Purchase Orders across global markets – track and chase through to full approvals
Own data in Clarity and work with the Programme Management Team for accuracy and timely entries of data
Maintain a portfolio plan on a page for AV projects
Collate and distribute papers for a weekly Working Group meeting and document actions through to completion
Collate and distribute papers for a monthly Steering Group Committee meeting - document minutes and actions through to completion
Collate and compile a monthly programme communication to key stakeholders
Work closely with supplier PMO Teams to ensure dependencies are tracked and data is shared on progress – identifying blockages and trends for the Programme Management Team to resolve
Maintain and develop strong relationships with internal/external customers

Expert in PMO basics especially milestone management and RAID accuracy
Able to creatively problem solve; analyse problems and trends to propose solutions
Can work with external suppliers on data quality and anticipate delivery issues
A working level understanding of managing orders with suppliers, being able to work with complex ordering systems
An ability to challenge the Programme Management Team on quality of reporting and data
Effective communication and interaction with colleagues & suppliers
Career experience as a Programme PMO specialist within IT
Exposure to IT delivery with multiple suppliers
Demonstrate the ability to manage upwards i.e. concise steerco packs and PMO deliverables at the appropriate level
Expert level ability with MS Office specifically Excel and PowerPoint
An understanding of multiple cultures in a delivery context
Certified PMO Certification preferred
Must be able to perform multiple tasks within deadlines
