We are looking for an Assistant Facilities Managerfor our Integrated Facilities Management business line in Wrocław

Role Purpose

An exciting opportunity has arisen for an Assistant Facilities Manager. The Assistant Facilities Manager will assist the Senior Facilities Manager in leading a team or vendor group to manage the tactical delivery for the assigned property/facility, and be the on-site point of contact for the key stakeholders &/or client in the absence of the Facilities Manager. The responsibilities will include site budgets, accounting and finance, maintenance and operations, contract services, purchasing of material, equipment & supplies, occupancy services and helpdesk.

Key Responsibilities

Operational Leadership

  • Implement industry best practices and maintain building procedures and performance measures
  • Ensure all Critical Environment (CEM) requirements are consistently met
  • Identify and execute opportunities to optimize costs while enhancing operational standards
  • Assist with daily facilities operations, including maintenance coordination, vendor oversight, and resource allocation
  • Provide coaching and guidance to on-site team members and service vendors
  • Foster a collaborative work environment that emphasizes high performance, teamwork, and professional development
  • Support team training initiatives and professional growth opportunities
  • Ensure service delivery meets established quality standards and timeline requirements

Client & Stakeholder Engagement

  • Deliver exceptional customer service to meet and exceed client expectations
  • Develop and maintain productive relationships with key stakeholders across all organizational levels
  • Implement effective communication channels to ensure client needs are properly addressed
  • Represent the facilities team professionally in client-facing situations
  • Support budget planning, monitoring, and financial reporting for assigned properties
  • Ensure compliance with accounts payable procedures and financial controls
  • Assist in analyzing operational costs and identifying optimization opportunities
  • Contribute to financial planning and forecasting activities

Contract & Procurement Management

  • Support vendor selection and procurement processes according to client guidelines and JLL best practices
  • Monitor contract performance and compliance with service level agreements
  • Assist in evaluating contract renewal needs and recommending improvements
  • Ensure all contractual obligations align with JLLs Code of Ethics

Health, Safety & Risk Management

  • Implement and enforce safety procedures to maintain a secure work environment
  • Ensure compliance with statutory regulations regarding fire safety, health standards, and building codes
  • Support risk management programs and business continuity planning
  • Follow established incident reporting and escalation procedures
  • Maintain compliance with JLLs business conduct guidelines and operational procedures

  • Experienced in facilities, property management, hospitality or related field
  • Able to demonstrate knowledge of local health and occupational safety requirements
  • Experienced in dealing with critical facilities and vendor management for specialized services
  • Able to demonstrate proven capacity to understand and interpret commercial contracts
  • Highly experienced in budget management and financial analysis
