Administrative Assistant with German

Your responsibilities

  • Manage and coordinate business travel arrangements
  • Prepare, verify, and process expense reports and reimbursement requests
  • Handle daily correspondence and administrative tasks independently
  • Maintain departmental calendars, process and monitor invoices, support monthly budget planning, manage document filing, and oversee office supplies
  • Screen incoming calls, answer queries or redirect them to the appropriate team members
  • Organize internal and external meetings, including team meetings, conferences, and meetings with the Head of Function
  • Co-organize recurring internal events, such as conferences or holiday events

Our requirements

  • Fluent command of German and English, enabling effective communication in an international environment
  • At least 3 years of proven experience in an administrative, assistant, or coordination role, ideally within a multinational or corporate setting
  • Strong organizational and time-management skills, including the ability to balance multiple tasks and deadlines with minimal supervision
  • High attention to detail and accuracy in handling documents, calendars, invoices, and reports
  • Strong communication skills, both written and verbal, with a professional and service-oriented approach
  • Proactive mindset with the ability to anticipate needs, solve problems independently, and take ownership of tasks
  • Strong proficiency in MS Office tools (Outlook, Excel, Word, PowerPoint)
  • Fluent Polish required
  • Residing in Poland required

Job Description

We are looking for an Administrative Assistant with fluent German and very good English to support our team with daily administrative and organizational tasks. The role includes managing business travel, preparing and controlling expense reports, handling correspondence, maintaining calendars, processing invoices, and supporting budget activities, as well as organizing meetings and internal events. The ideal candidate has experience in a similar role within an international environment, strong organizational and communication skills, and an excellent command of English and German.
