Strategic Staffing Solutions client - a global financial company - is seeking an Administrative Assistant. As an Assistant they will be responsible for providing extensive administrative support to 5-6 Managing Directors. They will also carry out ad-hoc admin requests for more junior members of the team.
Seeking someone with knowledge of diary management, travel booking and logistics management. Experience of working in a finance or professional services environment is desirable. Attention to detail is essential.
The duties of the role include:
- Diary and calendar management for Managing Directors
- Coordinating and scheduling of meetings and conference calls across multiple time zones
- Managing high volume of emails, relaying information in a timely and accurate manner
- Coordinating room bookings for internal/external meetings and VCs across multiple locations
- Coordinating travel arrangements for the team, including Visa applications, international flight, accommodation and car bookings
- Expense management and preparation
- Invoice processing
- Taking on ad hoc tasks while maintaining workflow
- Supporting teams in day to day issues, needs, and queries
- Providing phone / holiday coverage for colleagues
- Admin functions such as updating attendance and any other team admin functions.
- Fluent English is required.
Skills:
- Excellent M365 / Outlook skills a necessity with a proactive attitude when managing diaries and logistics
- Able to manage competing time-sensitive priorities and tasks.
- Demonstrates dependability and high attention to detail along with the ability to multi-task.
- Displays a consistent, professional degree of communication skills in person, on phone, via Zoom and by email at various levels.
- Comfortable working with people at all organizational levels, internally and externally
- Must be a team player and work well under pressure within a changing environment.
- Flexible and adaptable to work and support across multiple teams.
- Be resourceful and able to use own initiative in solving issues.
- Discretion to deal with confidential business matters.

- An employment contract or B2B contract up to your preferences (initially 18 months divided into three 6-month contracts)
