Our Administration Team is currently looking for a well-organized and detail‑oriented person for the position of Administration Specialist, who will support our two facilities based in Krakow. If you enjoy working with documents, value accuracy and clear processes, and like bringing structure to information, this role is for you! We’re looking for someone with at least 2 years of experience in a similar position, ideally in an administrative or documentation‑related environment. Experience in an administrative position will be a strong advantage, but the most important things are communication skills, good English, and a proactive attitude.
Key Responsibilities
- Coordinating and maintaining project and administrative documentation in line with internal standards.
- Preparing, editing, and archiving documents, reports, and procedures.
- Ensuring proper document flow and information management across departments.
- Supporting the implementation and improvement of documentation processes.
- Collaborating with various teams to ensure consistency and compliance of records.
- Performing other tasks related to documentation and office operations.
- Handling invoices in the workflow system.
- Business meetings and company events organization.
- Handling all correspondence (incl. couriers’ parcel, post, phone line) and ensuring the proper information flow.
Your Background
- At least 2 years of experience in a similar role (administration, documentation, or quality management).
- Very good knowledge of English (at least B2 level).
- University degree (MSc).
- Fluency in MS Office tools.
- Strong attention to detail, accuracy, and organization.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize effectively.
