Order Management Specialist

In this role, you will be responsible for ensuring the accurate and timely analysis of stock and inventory submissions from sales team representatives. You will provide these representatives with detailed reports and verbal updates throughout the reconciliation process, working collaboratively to maintain healthy inventory levels.You will initiate and follow up on requests for action to address stock and expiration inventory issues. Additionally, you will perform follow-ups with the sales organization to improve the ageing of pending purchase orders (PO Pending). You will interact with multiple departments across the company to process, address, and resolve internal customer inquiries, as well as to identify and implement process improvements.
Responsibilities:
- Process manual reconciliation analysis for both stock and consignment programs while strictly adhering to work instructions and ensuring accuracy.
- Completely close out and reconcile either stock submissions or consignment submissions by the end of each quarter, for all facilities or sales representatives involved in these programs.
- Ensure that the total number of items in the program matches 100% with the SAP database. Track and record reorders of any identified usages at the account and obtain reconciliation of the analysis quarterly.
- For Sales Representative controlled Stock Program reconciliation, verify that the exact lot ID matches 100% with the SAP database. Follow up and reconcile any variances in the stock analysis with the representative.
- Perform transactions in SAP to update lot IDs within specific locations, ensuring that SAP reflects inventory with current expiration dates.
- Issue initial requests for action and follow up as necessary to address stock and consignment expiration inventory.
- Provide initial data for PO Pending ageing and performs follow up with sales organization to improve the PO Pending ageing.
- Adhere to the Company’s Quality Management System (QMS) as well as domestic and global quality system regulations, standards, and procedures.
- Ensure compliance with QMS, regulations, standards, and procedures among other members of the department.
- Perform other work-related duties as assigned.
Qualifications and skills:
- Bachelor39s degree or equivalent experience in customer service, business administration, or a related field.
- 4 years of experience in a customer service role.
- Proficient in English (B2 level).
- Familiar with SAP ERP or similar systems, enabling efficient management of operational processes.
- Ability to work effectively in a fast-paced environment and manage multiple tasks simultaneously.
- Great customer orientation with a commitment to providing exceptional service.
- Team player with a positive attitude and a willingness to learn and collaborate with others.
