We are working with a leading global financial services firm to recruit an On-Site Office Manager for their Warsaw office. The company is renowned for its 75+ year legacy of financial innovation, integrity, and excellence across investment banking, capital markets, and commercial real estate. Their Warsaw location is a strategic hub supporting regional and global operations, and they are committed to fostering a high-performing, collaborative, and brand-aligned workplace culture.

As Office Manager, you will play a central role in shaping the office experience, supporting operational excellence, and ensuring the Warsaw site reflects the firm’s values and identity.

Key responsibilities

  • Coordinating administrative tasks, managing office supplies, and supporting vendor relationships.
  • Organizing meetings, travel logistics, and events for visiting executives and staff.
  • Acting as the main point of contact for internal teams and external partners.
  • Partnering with global marketing and communications to implement branding initiatives.
  • Driving internal engagement through events and activities that promote team cohesion.
  • Supporting onboarding and integration of new hires into the Warsaw office.
  • Maintaining a professional and organized workspace, liaising with building management as needed.
  • Collaborating with site leadership to execute legal entity controls and ensure compliance with EMEA and US regulatory requirements in outsourcing activities.

Ideal candidate

  • Proven experience in office management, executive support, or administrative coordination.
  • Strong organizational and communication skills, with a proactive and independent approach.
  • Fluency in Polish and English.
  • Experience in branding, marketing, or internal communications is a plus.
