Your responsibilities will include:
- Ensuring a welcoming office environment and positive workplace experience
- Managing company correspondence (sending, archiving, recording)
- Overseeing day-to-day office operations in Poland and abroad (supplies, services, and cleanliness of the office and storage space)
- Administering phone and roaming services
- Coordinating cooperation with external providers (e.g., utilities, telecom, insurance), including contract renewals and negotiations
- Managing lease agreements and office-related costs in Poland and abroad
- Managing and archiving contracts, NDAs, and related documentation
- Recording and overseeing storage of event materials (e.g., roll-ups, walls, welcome packs, gadgets)
- Providing administrative support to the Management Board, including organizing meetings, business trips, and processing business expense settlement
- Collaborating with other departments to organize on-site and off-site meetings, including company-wide events
- Overseeing budgets for trips and events
- Coordinating parcel shipments and deliveries related to onboarding and offboarding (including equipment and welcome packs)
- Keeping contact information of coworkers up to date (addresses needed for shipments, etc.)
- Other administrative and operational tasks, including support for HR processes from an operational side
Requirements:
- Problem-solving mindset and hands-on approach to day-to-day challenges
- Ability to manage multiple tasks and priorities independently
- Reliability, discretion, and a high sense of responsibility when handling contracts and sensitive data
- Excellent organizational skills and attention to detail
- Strong communication abilities and assertiveness in dealing with vendors and stakeholders
- Previous experience in a similar position, especially in office administration
- Proficiency in office software and digital tools (e.g., Google Workspace)
- Very good command of English (minimum B2) and ability to work in an international environment
