About the Role
The Global Indirect Facilities & Procurement Buyer will provide support for all our global sites, ensuring procurement processes are effective and efficient, and offer structure to day‑to‑day site operations and project‑based tasks.
Responsibilities
- Analyse, negotiate and review contractual agreements, ensuring appropriate terms and conditions protect Medison’s interests.
- Manage the procurement process, including sourcing, bidding, and contract management, for facilities, building management services, constructions, repairs, furniture, office security, car leasing, mobile provisions, etc.
- Monitor and review progress of contractual agreements, coordinate renewal as appropriate.
- Review and approve invoices for payment, and resolve any problems that arise.
- Support implementation of procurement policies and SOPs; identify opportunities for continuous improvement.
- Perform other duties and functions as assigned.
- Support the office manager with general office administration and facility management (office supplies, cafeteria, cleaning, etc.).
- Implement and enforce EHSS (Environment, Health, Security and Safety) in offices.
- Manage and monitor all facility‑related vendors, contract renewals, and related yearly budgets.
- Support office renovation projects, preparing cost estimates, project specifications, timelines, and drafting contracts.
- Support internal office moves by reviewing requirements, drafting tenders and contracts, and coordinating move activities.
Requirements
- At least 3 years of experience in multi‑site, multi‑country facilities management; procurement and administration experience is essential.
- Advanced knowledge of Excel.
- Basic office software tools (MS Word, Outlook, Google).
- Experience with NetSuite is an additional asset.
- Strong ability to manage competing priorities and projects.
- Strong interpersonal and communication skills, with the ability to build relationships across departments, work collaboratively, and manage conflict constructively.
- Agile and capable of multi‑tasking in a fast‑paced environment.
- Ability to prioritize tasks and delegate as needed.
- Experience with international organizations.
- Very high service orientation.
- Detail‑oriented and accurate.
- Travel will be required to visit different sites from time to time.
- Excellent communication skills in English.
